Task Management User Manual

The Task Module is your digital to-do list, helping you track follow-ups, internal deadlines, and client commitments in one place.

1. Introduction

Travel agencies handle hundreds of small details. Tasks ensure that nothing falls through the cracks—whether it's a follow-up call to a lead or a final payment reminder for an invoice.

2. Key Features

  • Linked Objects: Attach tasks specifically to a Lead, Customer, or Invoice for context.
  • Priority Levels: Categorize tasks as High, Medium, or Low urgency.
  • Staff Assignments: Delegate tasks to specific team members.
  • Status tracking: Monitor progress from Pending and In-Progress to Completed.
  • Deadline Monitoring: Keep track of task due dates.

3. How to Use the Task Module

3.1 Search & List Tasks

  1. Go to the Tasks section in the sidebar.
  2. Search Bar: Find tasks by Title or Description.
  3. Smart Filters: View tasks by Priority, Status, or who they are Assigned To.
  4. Overview: The list view shows you immediately which tasks are overdue and which are nearing their deadline.

3.2 View Task Details

Click the "View" (Eye Icon) on any task. The page shows the full task content, link to a Lead/Customer/Quote/Invoice (if any), assignment, and activity history. The layout is a main column (left) for task and related info, and a right column for assignment and timeline.

Sections on the Task View Page:

The following sections appear in order. Related To only appears when the task is linked to a Lead, Customer, Quote, or Invoice.

General Information

The main card on the left shows the current Status (e.g. Pending, In Progress, Completed, Cancelled) in a badge at the top. Below: Title (task name), Description (full details or “No description provided”), Created Date, Due Date, and Priority (e.g. Urgent, High, Medium, Low) with a colour-coded badge. Use this to see what the task is, when it’s due, and how urgent it is.

Related To

When the task is linked to a Lead, Customer, Quote, or Invoice, this card appears. It shows the type and name/number (e.g. “Lead: John Doe”, “Invoice: #INV-1001”) with a short summary (e.g. lead number, balance due). A View Details button opens that record. Use this to see which deal or document the task belongs to.

Assignment

In the right column. Shows Assigned To (the agent responsible for the task). Use this to see who should complete the task.

Activity Timeline

In the right column. Timeline of the task: when it was created, status changes (e.g. Pending → In Progress → Completed), re-assignments, and notes. Each entry shows date, time, and the user who performed the action. Use Note to add a remark, or View Full Activity History to see the complete log. This is the same as the “Task Activity Timeline” / “Task Audit Log” described below.

Action Buttons:

Change Status

Open a dialog to update the stage (e.g. mark as Completed or In Progress).

Edit

Change the title, description, due date, priority, assignment, or linked Lead/Customer/Quote/Invoice.

Delete

Permanent removal of the task. Use for cancelled or obsolete actions.

Task Activity Timeline:

Every change to a task is recorded to ensure accountability:

Task Audit Log:
  • Creation Log: Records who created the task and when.
  • Progress Updates: Tracks when the status moved from Pending to Completed.
  • Re-assignment: Logs if the task was moved from one agent to another.
  • Timestamping: Every update includes the user's name and the exact time of the change.

3.3 Creating a New Task

Click "Add Task" to open the form. You can also open it from a Lead, Customer, Quote, or Invoice view with that record pre-linked. The form has a main column (left) for Task Details and a right column for Assignment & Status and actions. Required fields are marked below where relevant.

Task Details

  • Task Title (required): A short, clear name for the task (e.g. “Follow up with Aarav Sharma”, “Send quote to ABC Corp”). Max 100 characters.
  • Description (optional): Full details, steps, or context. Large text area; max 500 characters.
  • Due Date (required): When the task should be completed. Use the date picker (dd-mm-yyyy). Cannot be in the past when creating.
  • Priority (required): Urgency level (e.g. Urgent, High, Medium, Low). Select from the dropdown.

Assignment & Status

  • Assigned To (required): The agent who is responsible for the task. Select from the dropdown. Defaults to the logged-in user.
  • Link to Lead/Customer/Quote/Invoice (optional): Searchable field; type at least two characters to search across Leads, Customers, Quotes, and Invoices. Select one to link this task to that record so it appears on that record’s task list and view. When you open “Add Task” from a lead, customer, quote, or invoice page, the link is pre-selected. Choose “None” or clear the selection to create a standalone task.

Click Save Task to create the task (or Cancel to return to the tasks list). The new task is created with status Pending; use Change Status on the view page to move it to In Progress or Completed.
